Inspection was taken of a file and pages were marked for Xerox, after receiving letter from Assistant Engineer (Bldg. & Fact.)PIO. I was told to collect copies when ready. Whenever I callup the Department to collect copies I am told that officer is gone to court or gone to site or just left the office.

What action can be taken to get file copies?

1) write an RTI application as asking for the status in your case.
2)one step ahead if you are aware the date and time when you were told that the officer had gone to court ask for the details of his vist i.e, the court which he attended the case for which he had gone and copy of the proof that he has actually gone for the official visit to court.
the PIO will aviod to give reply for Point No.2 instead he will call and give you the copy, These time you don't go personally to collect the copies tell him to deliver to your place.
I have done these once I had gone to collect the copies the PIO requested me that the copies are not ready. I told him that once copies are ready drop it to my place.
I would have not mind going again for the copy but just to show him that I am also busy person and I cannot run now and then before PIO.

Can you pls share with us the nature of your query, I mean did you ask for an inspection or did you ask for copies of specific information?

In case you had asked for copies of specific documents, I suggest you file a first appeal with the appellant authority, mentioning that despite the mandatory period of 30 days is over the PIO has failed to provide the required information.

In case you had asked for inspection of file and now that you know exactly which douments you require, then file a fresh RTI query and specifically list the documents you require.

I suggest you should not call the office. Instead write a letter to the concerned department and obtain a receipt or send them by speed post.

Certified copy is better then just xerox ( Any idea of extra charges?)

Charges are same for both certified copy and simple photocopy.
